3. Personal data

Equinestudies processes your personal data because you use our services and/or because you provide this data to us yourself. Below is an overview of the personal data we process:

  • Company name and, for foreign companies, the VAT number
  • Bank account number
  • Images and videos of Equinestudies activities
  • Other personal data that you actively provide, for example by creating a profile on this website, completing forms, or through correspondence and telephone communication.

Special and/or sensitive personal data

This website does not intend to collect sensitive or special personal data from its visitors (for example, personal identification numbers). You are not required to provide your bank account number directly. Payments through the website are processed via a payment module, so your bank details are not requested directly.
In some cases, additional information may be required from you, in which case we will contact you directly. The website and/or service does not intend to collect data from visitors under the age of 16, unless parental or guardian consent has been given. However, we cannot verify the age of visitors. We therefore recommend that parents are involved in their children’s online activities to prevent the collection of data about children without parental consent.

5. Processing of personal data

  • Equinestudies processes your personal data for the following purposes:
  • In order to efficiently deliver the services you have requested
  • Processing payments to/from Equinestudies, accounting, and tax filings
  • To send newsletters with tips, articles, and information about activities. Each newsletter includes a link at the bottom that allows you to unsubscribe at any time.
  • To contact you by phone, message, or email when required for the performance of Equinestudies’ activities and/or for maintaining relationships with (potential) clients and other professional contacts.
  • To allow you to create an account that is required for the performance of an agreement.
  • Images and videos may be used for communication purposes, including on our website, social media, educational materials, and promotional activities.

7. Retention of Personal Data

Equinestudies does not retain your personal data longer than is strictly necessary to achieve the purposes for which the data was collected. We apply the following retention periods:

First and last name, address details, phone number, email address: These are retained as long as they are relevant for the purposes mentioned above, or until the individual unsubscribes or requests that the data be deleted.

IP address: This is stored in the email provider’s system to demonstrate who registered and when. It remains stored until the individual is removed from the system, either by themselves or by Equinestudies at their request.

Due to fiscal retention requirements, Equinestudies must keep the administration related to business agreements for 7 years (this concerns data NOT directly obtained through the website but acquired by Equinestudies when entering into a business agreement).

Other personal data that you actively provide, for example by creating a profile on the website, completing forms, or through correspondence and telephone communication: Since many clients return regularly or at (sometimes longer) intervals, this data is retained as long as it is relevant for providing services. Completed forms for advisory sessions are deleted after processing.

Equinestudies uses visual material created during activities for communication purposes, such as on the website, in educational materials, and for promotional purposes. Equinestudies ensures a positive representation of the individuals depicted and requests consent for the use of images featuring recognizable persons whenever possible. If you request that images no longer be used, they will be removed.

8. Sharing personal data with third parties

Equinestudies does not sell your data to third parties and will only provide it if necessary for the execution of our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf, we enter into a data processing agreement to ensure the same level of security and confidentiality of your data. Equinestudies remains responsible for these processing activities.

You also have the right to data portability, which means you can request that the personal data we hold about you be sent in a computer-readable file to you or to another organization you designate.

If you wish to exercise your right to object and/or your right to data portability, or if you have any questions, comments, or complaints regarding data processing, please send a message with a clear explanation to info@equinestudies.nl. Such a message will be processed as soon as possible, and in any case within 4 weeks. If it is not possible to reach an agreement regarding a complaint, you may contact the Dutch Data Protection Authority.

11. Securing personal data

Equinestudies takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized alteration. The following measures have been taken to secure the website as effectively as possible:

Security software, such as antivirus programs and a firewall.

TLS (formerly SSL) We transmit your data via a secure internet connection. You can see this by the ‘https’ in the address bar and the padlock icon.

DKIM, SPF, and DMARC are three internet standards we use to prevent you from receiving emails in our name that contain viruses, are spam, or are intended to obtain personal (login) information.

DNSSEC is an additional security measure for converting a domain name to its associated IP address; it is provided with a digital signature. This signature can be automatically verified. In this way, we prevent you from being redirected to a false IP address. 12. Data processing agreement

The GDPR stipulates that anyone who processes personal data must enter into a ‘data processing agreement’ with their hosting provider as of 25 May 2018. Equinestudies has arranged this through the host of its website and email services.
